How Do I Know If My Company Needs New Software?
Many of us have frustrations with the different types of software we use on a daily basis. Some of these concerns might be easy fixes or be changed through some simple updates. However, there could be situations where a simple fix is not a reasonable solution. Let’s explore some signs that may indicate that your company needs new software:
- Outdated technology: If your software is outdated, slow, and no longer meets your business needs, it's time for an upgrade. Think about that two-door car you had when you were single, before you had a family. Could you still drive it, of course. But would it be the best solution for your current needs? Probably not. Upgrading your software (or vehicle) to meet your present situation can reap many benefits.
- Lack of functionality: If your current software lacks the features and capabilities that you require to run your business efficiently, it may be time to consider new software. As technology & business needs evolve, you might find that your once top-of-the-line software is missing some components that can really streamline your daily operations. You might be able make some software updates, but likely that won’t solve the overall problem that a new software solution would probably solve.
- Compatibility issues: If your software is no longer compatible with newer hardware or operating systems, it may be time to look for a replacement. Think about your smartphone or smart TV…with older devices, there are some apps that will not work on older devices. With the hardware limitations of some of these devices, newer/more advanced applications might not be able to function. This forces users to get new phones/TV’s/etc., if they want the newer experience that those applications provide.
- Security concerns: If your software is no longer receiving updates or patches, it may be vulnerable to security threats, which could put your company at risk. This directly relates to item #3. Some older devices & software could be more prone to security concerns/attacks that newer versions are built to withstand. As an example, let’s look at Windows XP/Vista. Due to advancements in hardware and software, these operating systems were no longer relevant and able to keep up with the demands. This forced users to adopt newer OS’s that could match present day & future security needs.
- Costly maintenance: If your current software requires frequent and costly maintenance, it may be more cost-effective to invest in new software that requires less maintenance. As with an older vehicle or house, sometimes the cost of maintaining these structures outweighs the long-term investment. If your current software is requiring numerous & costly updates (see issues #3 & #4), this could be a sign that a new software suite is the route to consider.
- User complaints: If your employees are complaining about your current software, it may be time to listen to their feedback and consider switching to a more user-friendly solution. If your company is constantly receiving negative feedback (from internal/external audiences) that cannot be corrected with simple fixes, this could be an indication that major changes need to be made.
- Lack of integration: If your software is not able to integrate with other systems that your company uses, it may be time to find a solution that can better meet your needs. Does your TMS or WMS integrate with your billing software? How about your CMS…does your software make this a seamless experience? If you are running multiple systems that do not (or cannot) communicate with each other in the manner the business needs, think of the efficiencies and cost savings that could be realized with systems that successfully integrated systems could bring.
